How Proper Job handles data.

Who this applies to

This policy covers the Proper Job iOS and Android apps, the Proper Job website, shared guide price links, PDF guide prices, client response forms, support requests and contact forms and AI integrations. Proper Job is operated by SR3H LTD. Our company details are in the Terms.

Data we collect

• Account and profile details, such as name, email, role, company details, VAT status, contact details and logo where provided.
• Job and guide price details, including project descriptions, addresses or postcodes, sizes, selected options, ranges, assumptions, extras and PDFs.
• Drawing files and extracted quantities when you use drawing analysis on our website or apps.
• Shared guide activity, including sent versions, view status, response status, revision requests and client responses.
• Purchase and unlock records needed to provide access and answer billing queries. App Store payments are handled by Apple, Google Play payments are handled by Google and web checkout, where used, is handled by Stripe. We do not store full card details.
• Technical data such as installation ID, session data, push notification token, request metadata, IP address, user agent and basic diagnostics.
• Messages, feedback and support notes sent through support, feedback or contact forms.

How we use data

• To create, send and display guide price links and PDFs.
• To sync account jobs between app and web.
• To show when a shared guide price has been viewed or responded to.
• To process purchases, support unlocks and billing access.
• To send account, guide-price, client-response and support emails or notifications.
• To improve pricing logic, product reliability and support.
• To prevent abuse, spam, duplicate redemptions and unauthorised access.

Who processes data

Proper Job uses service providers to host the website, database, email delivery, sign-in, payment unlocks, push notifications and operational tools needed to run the product. These providers may include Vercel, Supabase, Resend, Apple, Google, Stripe and OpenAI for drawing analysis where used. We do not sell personal data.

ChatGPT pricing calculator

The calculator receives structured details supplied in your conversation, including country, type of work, size, scope and outward postcode area. Your assistant reads uploaded drawings and may send structured quantities. Proper Job does not receive drawing files or run AI drawing extraction for this calculator. It returns an indicative price and its assumptions without connecting to a customer account or retrieving saved projects or estimates.

Calculation requests do not create a customer project or saved estimate. We record sanitised calculation inputs and results, the tool used, timing, and the assistant client and model where supplied, in an internal operational audit log to check usage, pricing reliability and abuse. This log excludes account IDs, full addresses, email addresses, conversation transcripts, drawings and credentials. A short-lived client request counter protects against rapid automated abuse; there is no calculation allowance or payment gate. Hosting providers may also retain operational logs. Drawing extraction and a separate AI model call are not part of this calculator.

Information you put into ChatGPT is governed by that service’s privacy settings and policies. Avoid including personal addresses or other private information in your prompts.

Guide price links

Anyone with a valid shared guide link may be able to view that guide price. Only share guide links with the intended recipient, and contact support if a link has been sent to the wrong person.

Retention and deletion

We keep data for as long as it is needed to provide the service, maintain sent guide history, handle support, keep payment records and meet legal or security requirements. Security logs, contact events and stale push notification tokens are reviewed so they are not kept longer than needed.

Your choices

You can choose what details you enter, update account details where available, and ask for access or correction through the support page. You can request account and associated data deletion through the apps or the dedicated account deletion page.
